Job Overview
The Executive Administrative Assistant provides high-level administrative and project support to two Senior Vice Presidents at Link Logistics. This role is essential to ensuring the smooth operation of executive-level activities and requires a proactive, detail-oriented professional who can manage complex calendars, coordinate meetings and travel, process expenses, and support internal communications and event planning. The Executive Administrative Assistant serves as a key point of contact for internal and external stakeholders and is expected tomaintainconfidentiality and professionalism in all interactions.
This positionoperateswithin a fast-paced, dynamic environment and requires strong organizational skills, excellent communication abilities, anda high levelof discretion. The role supports strategic initiatives and contributes to the overall efficiency of the executive office.
Job Responsibilities
Manage complex calendars for two Senior Vice Presidents, including scheduling across multiple departments and time zones.
Coordinate internal and external meetings, includinglogistics, agendas, and follow-up communications.
Arrange domestic and international travel, including itineraries, accommodations, and transportation.
Process expense reports and invoicesin accordance withcompany policies.
Assistin the preparation, compilation, and distribution of executive-level materials and presentations.
Support planning and execution of internal events, offsites, and industry conference participation.
Serve as a liaison between the executives and internal/external stakeholders, ensuringtimelyand professional communication.
Maintain confidentiality of sensitive information and manage executive correspondence with discretion.
Track and follow up on action items and deadlines related to executive initiatives.
Provide general administrative support including document management, filing, and office coordination.
5+years of experience supporting senior executives, preferably in real estate, financial services, or a corporate environment.
Strong written and verbal communication skills with the ability to interact professionally across all levels of the organization.
Demonstrated leadership and initiative in managing projects and solving problems independently.
Proficiencyin Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)required.
Experience with expense reporting and travel coordination tools preferred.
Excellent organizational and time management skills with the ability to prioritize and multitask under pressure.
Strong interpersonal skills and ability to build relationships with internal and external stakeholders.
High levelof discretion and integrity in handling confidential information.
Ability to work both independently and collaboratively in a fast-paced, growth-oriented environment.
